Editable procurement templates

Start with the information you have.

Two practical CSV worksheets for Excel, Google Sheets or another spreadsheet editor. Fill in the “Your input” column, mark unknowns and keep your own copy. The templates contain guidance, not preset equipment quantities or quotation promises.

CCTV OEM product brief

Organize your product, target specification, branding, configuration, sample and commercial requirements. Separate standard-platform options from requests that need an ODM assessment.

02 / ELV design & project supply

ELV project input checklist

Record the building, project stage, drawing revisions, required systems, existing equipment and procurement scope. Include open decisions without inventing values to complete the sheet.

To return a completed worksheet, use the inquiry form. It accepts one supported file up to 3 MB; combine larger project materials in a shared folder and submit its link. Keep customer credentials and unrelated personal records out of technical files.

Buyer guide / CCTV manufacturing

How to prepare a useful CCTV OEM RFQ

An RFQ is a request for quotation. A good first request identifies the product and buying decision, distinguishes essential requirements from preferences, and leaves unresolved items visible. You do not need a complete engineering specification to start.

InputWhat to includeWhat it helps us establish
Product and useIP camera, PTZ or NVR; indoor/outdoor use; target scene; a current model or reference if available.A product-platform shortlist and any missing operating conditions.
Target specificationResolution, lens or field of view, low-light requirement, audio, recording channels or interfaces. Mark each item must-have, preferred or unknown.A model-level match, proposed alternatives and visible deviations.
CustomizationLogo, label, packaging and manual requests; separate these from configuration changes and proposed development.A feasibility review identifying standard options, sample checks and development items.
Quantity and marketAn estimated sample or batch quantity, destination market and intended sales channel. An estimate is enough to begin.Quantity-dependent commercial terms and destination-specific documentation questions.
IntegrationExisting NVR/VMS, software version, required protocol/functions, power source and network conditions where known. An explicit compatibility check or sample test; a brand name alone is not evidence.
Documents and timingReference specifications, artwork if ready, preferred sample timing, packing or language requirements.A proposed sample scope, approvals and delivery assumptions for your review.

1. Define the customization boundary

Branding OEM: identify the logo, label, carton and manual work you need. Supply artwork and brand-use instructions when available.

Platform configuration: request model-specific lens, housing or supported function options. Feasibility depends on the selected product platform.

ODM development: describe the problem, required outcome and evaluation criteria. Hardware, structure or software changes need an agreed feasibility, development and sample plan; they are not included automatically in a branding order.

2. Make the sample approval measurable

Keep a sample record with the platform/model, relevant hardware and software version, approved artwork revision, packaging contents and the checks you agreed. Record results and unresolved items before authorizing a batch.

  • Image and recording behavior in the intended scene.
  • Required functions with the named NVR or VMS version.
  • Logo, labels, language, carton and included accessories.
  • Accepted differences and who approves each change.

A successful sample test applies to the tested configuration. Recheck changes that affect the agreed functions or compatibility.

3. Compare quotations on the same scope

Ask which model and revision are priced, what the branding charge covers, and whether sample, tooling or development costs are separate. Check accessories, packaging, required documentation, export terms and any software or license scope.

MOQ, sample cost, development cost and lead time are confirmed after the product, quantity and approval steps are known. Use the same assumptions when comparing an alternative.

4. Keep one approval baseline

After sample approval, freeze the product specification and artwork references used for the order. Log a change with its revision, reason, cost or timing effect, approval owner and affected batch.

For repeat orders, send the previous model/order reference and state what has changed. This is more reliable than asking for “the same camera” when packaging, components or software requirements have moved on.
