A lower hotel CCTV quotation may omit disks, local power protection or commissioning. Preserve the offered models and reconcile every required scope item before ranking prices.
Section 01
Preserve the exact offered models
Rank hotel CCTV quotations after matching the required equipment, optional items and services. Preserve each supplier's offered models and add missing necessary scope to an evaluated comparison. Choose the lower qualified total only when recording, cabling, protected power and commissioning boundaries agree. If a necessary item remains unpriced, keep the purchasing recommendation conditional.
Copy the complete model designation and quoted configuration into the comparison. Keep quantities, included disks and software scope attached to that identity. A shortened family name can conceal differences in lens, recording mode or power configuration. Preserve the original offer beside any proposed substitute so the buyer can identify what has changed.
Use a common task and delivery basis. State the public-zone schedule, retention requirement and destination, then distinguish equipment supply from local installed work. Equal camera counts do not establish equal systems. Where a source field is conflicting or a required function is absent, record the issue instead of selecting the most favorable interpretation.
| Required task | Given information | Decision still needed |
|---|---|---|
| Record and retrieve approved views | Quoted camera and NVR models | Disks, recording modes and retrieval scope |
| Operate after local installation | Equipment supply amount | Cabling, power and commissioning responsibilities |

Section 02
Normalize storage and cabling
Match storage by usable recording service. The illustrative 32-camera reference assumes 4 Mbps per camera, continuous recording and thirty days. Its video volume is 41.472 TB, requiring 51.84 TB usable when 20% remains free. These are planning inputs, not a fixed result of camera resolution. Disk mode and formatting must be reconciled separately.
Ask whether the quote includes the stated drives, installation and supported configuration. A raw disk total cannot replace usable capacity. NexPro-NVR2232-4K has unresolved source differences between 2 × 8 TB and 2 × 18 TB, with recording/playback differences also recorded. Keep that conflict beside any offer using the model; do not assume the larger capacity is available.
Normalize cable scope using actual continuous routes, conductor and sheath requirements, termination and testing. SP5648 is a Cat6 48-port patch panel and DT968MX is a Cat6 tool-free module; neither is a cable-reel SKU. The full reference's 1826 m route total and feasible seven 305 m reels belong to its own assumed cuts. They cannot be copied into another hotel's quotation without its route schedule.
Section 03
Include protected power
Compare the entire required recording path during the agreed outage. An energized NVR cannot receive footage from unpowered cameras or an unprotected remote switch. Identify access nodes, core network and recording loads by protection zone. A fiber backbone carries data; it does not automatically supply power to remote equipment.
Preserve the UPS model and battery configuration. SP1KR(S) is rated 1 kVA/900 W, SP2KR(S) is 2 kVA/1800 W, and the tower SP2K(S) is 2 kVA/2000 W. Matching kVA does not establish matching watt capacity. Check W and VA independently, then obtain runtime information for the supported battery configuration and actual load.
Separate power-conversion capacity from minutes of backup. Do not transfer a default battery-energy field from one model to another. Likewise, NexPro SW-POE1618G lacks a numerical total PoE budget in the supplied record, and its title and detailed access-port speed fields conflict. A quotation using it must answer the project's power and speed requirements before the switch can be treated as qualified.
Section 04
Separate site and remote services
Identify who mounts equipment, terminates cables and performs electrical work. Then state who configures recording, permissions and operator workflows. Remote guidance is a distinct service from local attendance. If one quotation includes installation and another leaves it to the hotel's contractor, add the missing work on a common evaluated basis.
Commissioning should describe observable tasks. Check recorded images under relevant conditions, replay a defined event window and verify usable export. Demonstrate the required outage state across its camera and network path. Factory checks can establish configured behavior under their test conditions, while the site check addresses the hotel's installed routes and lighting. Neither should be represented by pre-filled passes.
Separate initial commissioning from later service fees. The supplied policy record states a 24-month limited hardware baseline from receipt for applicable main equipment, subject to written controlling terms. Batteries, disks, cable and OEM orders need scoped treatment. Local labor, travel and return freight should be identified where relevant; ongoing technical support does not establish that these costs are included.
Section 05
Calculate evaluated totals
Begin with each quoted amount, add required excluded work and keep optional upgrades separate. Remove duplicated inclusions before totaling. Use the same currency and delivery basis, and show recurring expenditure over the chosen period. An unresolved charge should remain a named assumption so the apparent winner is not selected on an incomplete total.
Complete the inclusion record below before using the separate commercial illustration. Its equal-outcome teaching inputs total 14500 for A and 14000 for B over five years, with a 3.75-year crossover. That arithmetic assumes initial amounts of 10000/11500 and annual amounts of 900/500; it cannot resolve an unpriced UPS, cable task or commissioning service.
Keep technical evidence and evaluated amounts in separate columns. Missing required scope is unresolved, not free; an item already included in a package must not be added again. Request the actual amount and responsible party for every required exclusion. Recalculate the ranking only after those answers, using the detailed ownership-cost method where recurring fees matter.
| Required scope | Supplier evidence to request | Evaluation treatment |
|---|---|---|
| Recording and drives | Exact model, supported mode, drive identities and usable budget | Included / separate / supplied by others / unresolved |
| Protected power | Actual protection zones, W/VA and supported runtime configuration | Add only required excluded scope; minutes not inferred from kVA |
| CAT6 work | Cable identity, routes, terminations and agreed tests | Separate purchased material from installed work |
| Commissioning | Factory/site tasks, configuration and handover owner | Remote guidance does not automatically include attendance |
| Delivery and later fees | Destination, currency, exclusions and actual recurring terms | Common basis; unresolved amounts remain visible |

Section 06
List remaining commercial assumptions
Attach a short assumptions register to the comparison. Record quote validity, delivery point, freight and tax treatment, required dates and responsibility for local work. Identify any quantity that remains provisional. A named assumption can be resolved through a targeted clarification; a blank field gives the owner no way to understand the risk.
Recommend the lower complete evaluated cost among technically qualified offers. Retain a conditional recommendation when missing services could change the result, or when the proposed equipment has an unresolved mandatory capability. Change the selection if the evaluation period moves below 3.75 years in the teaching model, or if actual recurring costs remove B's advantage.
NexPro-Link's BOQ support can help map exact models, deviations and coordinated supply inclusions. Its CCTV manufacturing scope and other supplied categories should remain distinct, with no assumption that a combined order includes every integration or local service. Send the relevant quotation rows, exclusion lists, retention and backup requirements, plus destination and evaluation period, to info@nexpro-link.com. Credentials and guest footage are unnecessary for this initial comparison.

Section 07
Buyer questions
Is a zero-price line an inclusion or an omission? Ask the supplier to state which it is. An included item should reference its package and quantity. An excluded required item needs separate pricing or an unresolved evaluated allowance.
Can remote commissioning replace all site work? No. Physical installation and installed-condition checks still need a responsible local party. Define which configuration tasks can be supported remotely and which observations require site access.
Can a comparable offer use a different exact model? Yes, if alternatives are permitted and the model satisfies the required task and interfaces. Preserve both identities and list deviations; matching a family name or headline specification is insufficient.
