After an alternative is accepted, reconcile its exact model, affected drawing tags and agreed exclusions with the order and packing schedule. Preserve the original specified offer as history, not the current shipment instruction.
Section 01
Confirm where the buyer permits an alternative
After an alternative is accepted, reconcile its exact model, affected drawing tags and agreed exclusions with the order and packing schedule. Preserve the original specified offer as history, not the current shipment instruction. Refer any later substitute for the relevant review again; approval of one alternative is not permission for further uncontrolled changes.
A factory value-engineering submission should preserve the required operating task while declaring changed models, interfaces and complete price scope. First identify which tender lines allow alternatives and who can evaluate them. Keep the specified offer and proposed alternative distinguishable. A supplier's competitive quotation does not itself authorise a brand or performance change.
Illustrative project scenario: A contractor proposes NexPro-Link against an existing specified-brand package for an ordinary factory security system. Use the supplied CNC reference to define the planning task: 32 views covering gates, stores, permitted transfers, common routes, dispatch and equipment-room approaches. The reference is hypothetical; no matched quotation, client approval or comparative site trial is available.
Retain the original BOQ numbers, model descriptions and tender conditions in the submission. Mark each proposed change against those references. Where the brand is mandatory, ask whether supporting equipment or another explicitly permitted scope can be considered. Company registration, brand acceptance and project model approval remain separate decisions even when the contractor already buys from the supplier.

Section 02
Define the functions that the substitution must preserve
Write the retained outcome before comparing product labels. For CASE01, that means authorised access and material-transfer review, continuous local recording under the accepted stream settings, a 30-day planning target and usable retrieval and export. The alternative should identify the views and operator tasks it preserves. Reducing camera quantity, recording hours or retention would be a scope change requiring its own decision.
The storage basis is illustrative: video_TB = 32 × 4 × 10^6 × 86400 × 30 / 8 / 10^12 = 41.472 TB. Four 16 TB drives yield a video budget of 64 × 0.95 × 0.80 = 48.64 TB under the case assumptions. Preserve that demand-versus-budget check when evaluating a replacement arrangement, without adding reserve a second time.
The NexPro-NVR4449-4K offers a relevant four-bay, 320 Mbps input reference, but the case assumes its camera streams are within supported 5MP-class modes. Treat decoding, disk fault tolerance and external platform functions as separate requirements. Keeping a channel number unchanged does not demonstrate that the whole original workflow survives.
Section 03
Connect each model change to its site and cost effects
For every substituted item, show the original reference, offered model, retained function, declared difference and affected work. A changed camera housing can alter the bracket and junction arrangement. A different recorder can alter the disk selection or viewing workflow. The engineer should resolve technical consequences before the quantity surveyor assigns a saving to the substitution.
Keep a status for supplied, retained, installer-provided and optional items. If the owner's network stays in place, identify who approves camera connectivity and who configures access. ONVIF profile applicability is useful evidence for exact device and client functions, but a live stream does not establish every event, audio or search feature. Price any necessary integration work against a named task.
A display reduction is especially easy to misdescribe. CASE01 retains a retrieval display in its base option and adds a four-panel LCD wall only as an option. If the specified package requires simultaneous wall viewing, removing it changes the job. If it is genuinely optional, separating its cost can clarify the owner's choice without altering the required recording package.
Section 04
Calculate the complete alternative before claiming a saving
The supplied cost example uses fictional currency units and unnamed options. Option A has goods of 10,000, installation of 3,000 and required omitted scope of 2,000. Option B has goods of 11,500, installation of 2,500 and no required omitted scope. These figures are an evaluation example, not NexPro-Link or competitor prices, and they are not a costed version of CASE01.
Use normalized_total = goods + installation + required_omitted_items. A_total = 10,000 + 3,000 + 2,000 = 15,000 currency units; B_total = 11,500 + 2,500 + 0 = 14,000 currency units. Difference = A_total - B_total = 1,000 currency units. Option A's lower goods figure does not produce the lower complete total.
The decisive change is restoring the required omitted scope. An alternative cannot claim a saving by leaving the buyer to buy necessary parts or services elsewhere without accounting for them. Use actual same-date, same-quantity, same-currency and same-delivery-scope quotations for a project conclusion. Keep exclusions and evaluation allowances visible beside the submitted price.
| Cost component | Option A | Option B |
|---|---|---|
| Goods | 10,000 currency units | 11,500 currency units |
| Installation | 3,000 currency units | 2,500 currency units |
| Required omitted scope | 2,000 currency units | 0 currency units |
| Normalized total | 15,000 currency units | 14,000 currency units |

Section 05
Recommend the alternative only under stated acceptance conditions
Recommend evaluation of an alternative when substitutions are permitted, required functions remain supported and the complete cost basis is clear. Name the unresolved conditions rather than declaring equivalence prematurely. A representative trial can test view detail, retrieval and export under agreed settings; it should be recorded against the exact models and configuration proposed for supply.
Keep specialist requirements outside ordinary equipment substitution. A mandatory environment rating, certified assembly or enterprise integration cannot disappear because another part of the package is inexpensive. If the proposed ordinary-area equipment is suitable for only part of the project, show that limited boundary and retain the required specialist scope.
The owner should see the operational consequence of each change; the engineer should see its evidence and dependencies; the quantity surveyor should see its equipment and service delta. This supports a decision on the actual alternative. It avoids a brand-wide verdict based on unrelated catalogue features or an unsupported assumption of lower lifecycle cost.
Section 06
Package the proposal so approval can be traced into supply
Issue a short cover statement, source-to-offered model mapping, retained-function schedule, deviation list and normalized commercial comparison. Include only the datasheets and calculations that answer the changed requirements. Give each open item an owner and closure action. The buyer can then approve a defined revision rather than a loosely described alternative package.
NexPro-Link's BOQ & Tender Support scope is relevant to model matching, technical responses and quotation coordination. Factory and project-supply preparation can follow the accepted tags and packaging instructions. Local installation and specialist integration should remain with the parties identified in the proposal, with their work priced or explicitly allocated.
After a decision, update the purchase schedule and packing instructions to match the accepted alternative. Do not carry an approved model name into an order that still contains the superseded disk, bracket or power configuration. If the buyer rejects a deviation, restore the baseline scope and show the resulting price change rather than leaving an unapproved substitution hidden in the final quotation.

Section 07
Buyer questions
Is a lower-megapixel camera always a value-engineering option? Only if the proposed view still meets the required image task and the buyer permits that change. Compare accepted scene detail and recording settings; a reduced specification alone does not prove equivalent performance.
Can an alternative keep the owner's recorder? Yes, subject to the required stream and workflow checks. Identify any configuration, licensing or compatibility work and include it in the alternative's complete scope.
What if the alternative is technically acceptable but costs more? Present that result honestly. The buyer may value another defined benefit, but it should be described and evaluated separately rather than calling the proposal a saving.
