A coordinated hotel order does not automatically give batteries and hard drives the recorder's warranty. Match every component to its written terms and distinguish service life from a covered replacement remedy.
Section 01
Separate main equipment from replaceable components
Specify UPS battery and HDD coverage on their own order lines. They do not automatically inherit the NVR or UPS hardware warranty because they arrive in one hotel equipment package. Accept a coordinated proposal when the component identities and remedies are clear; revise it when a battery or disk substitution leaves the coverage or replacement responsibility undefined.
Build the schedule around the service each item supports. Recorder hardware handles the recording function, while its disks hold the footage. UPS hardware and the selected battery configuration contribute different parts of the protected-power service. A service interruption can involve one item without establishing that the whole package shares its fault or warranty treatment.
The supplied NexPro-Link policy record distinguishes eligible main equipment from batteries, storage media and accessories. Cables, connectors and consumables follow the written scope too. Give these categories separate entries even if the final agreed terms happen to match. This prevents a general package description from obscuring the component that actually needs attention.
| Required task | Given information | Decision still needed |
|---|---|---|
| Restore recording hardware | Named recorder model | Hardware remedy and start event |
| Replace recording media | Disk quantity and capacity | Exact HDD identity and terms |
| Restore backup duration | UPS model and selected battery arrangement | Battery coverage and supported replacement |

Section 02
Match coverage to the exact supplied model
The supplied policy record, checked on 7 October 2026, describes a 24-month receipt-based limited hardware baseline for eligible main equipment. It does not supply a universal battery or HDD period. Read the quotation, pro forma invoice and contract against the component schedule, then identify the controlling remedy and expense allocation for each item.
NexPro-NVR4449-4K has published fields for four SATA positions and up to 18 TB per disk. Those fields describe hardware accommodation, not the brand, model or warranty of a supplied drive. Its supported recording modes also require their own check; neither disk capacity nor the 49-channel name establishes an unrestricted image configuration.
SP2KR(S) is a rack-mounted online double-conversion LiFePO4 UPS rated at 2 kVA and 1800 W in the supplied record. The actual battery configuration belongs in the order. Do not copy another selected model's default energy value into this schedule or treat the UPS rating as proof of battery duration, lifecycle or replacement coverage.
Section 03
Distinguish service life from the warranty clock
Keep expected service life, operating conditions and warranty entitlement in separate fields. A battery-life estimate depends on its stated conditions and does not establish a promise of free replacement throughout that life. The same discipline applies to storage media: a planning expectation cannot replace the component's actual written terms.
The retained calendar illustration assumes main-equipment receipt on 1 January 2027 and opening on 1 July 2027: 24 − 6 = 18 months remain under that hardware example. It supplies no battery or HDD duration. Calculate each component's remainder only after its own start event and written term are known.
Use the component-term request table to identify what is missing from each offer. If a drive or battery is substituted, request the new identity and controlling terms before ranking coverage. Keep service-life expectations outside the warranty-duration field.
| Component or record | Obtain separately | Cannot establish the missing term |
|---|---|---|
| HDD | Exact supplied model, controlling coverage, start and remedy | Recorder SATA count or allowed disk capacity |
| UPS battery arrangement | Delivered identity/configuration, written coverage and care instructions | UPS kVA/W rating or an estimated service life |
| Replacement component | Supported substitute, approval and replacement-term treatment | Equal capacity or an assumed new full term |
| Early receipt | Component-specific start event and elapsed time | Main-equipment example: 24 − 6 = 18 months |
| Restoration work | Authorized local fitting, data handling and freight allocation | Hardware remedy alone |

Section 04
Assign maintenance and replacement work separately
Name the party responsible for checking the affected service and carrying out physical replacement. Remote guidance may help identify the configuration and a supported substitute. Battery removal, safe electrical work and disk installation require appropriate local personnel and the selected equipment's instructions. A component remedy does not automatically include those tasks.
Compare local stock with international replenishment against the required restoration outcome. A spare battery arrangement must match supported voltage, BMS and charging requirements. An HDD replacement must fit the actual recorder configuration and supported drive selection. Neither an equal energy label nor an equal disk capacity alone establishes interchangeability.
Before a return, obtain authorization and the relevant case instructions. Record the component identity, order reference and symptoms without sending credentials or guest footage in a general inquiry. Where a disk contains recordings, separate the hotel's authorized information-handling decision from the hardware-return task. Replacement-term treatment must follow the written record rather than an assumed fresh warranty.
Section 05
Compare the complete cost of restoring the service
List the accepted component remedy separately from fault isolation, local labour and transport. Include any agreed faster shipment or spare purchase as additional scope. Without those lines, a quotation can appear cheaper simply because restoration work is absent. No actual component prices or freight rates are supplied here, so the comparison should use quoted inputs rather than invented totals.
The relevant decision threshold is whether the extra service or stock cost addresses a restoration requirement that the baseline cannot meet. Ask the cost manager to compare like-for-like outcomes and identify which omitted charges could reverse the preference. A longer accessory term still leaves a gap if no one can fit the replacement.
Choose limited, functionally suitable stock when critical recording or backup duties cannot wait for replenishment. Retain a replenishment-based route when the service objective and local support arrangement allow it. Review that choice if the supported component changes or the destination makes the previously assumed supply route impractical.
| Outcome | Extra scope | Worth considering when | Counter-condition |
|---|---|---|---|
| Restore recording media | Supported local HDD and fitting work | Replenishment cannot meet the restoration objective | Existing suitable stock already covers the task |
| Restore backup service | Supported battery replacement and local work | Hotel cannot perform the required work | Qualified local service is already contracted |
| Receive a replacement sooner | Agreed faster freight | The timing benefit meets an actual need | The hotel can accept the ordinary authorized route |
Section 06
Keep component terms with the equipment schedule
Use one project schedule that preserves separate component records. Include exact identity and quantity, covered term, start event and remedy, with local replacement and transport responsibilities. Update the affected entries when a supplier proposes a substitute. A capacity-equivalent change can still alter service conditions or warranty handling.
Connect this schedule to delivery and installation milestones. Shipment, customer receipt and a usable system are distinct events. The illustrative 18-month main-equipment result supplies no delivery promise and no accessory expiry date. The replacement work should also have a task check, such as restored recording or the agreed protected-power operation, with results recorded only after observation.
NexPro-Link can discuss the equipment list and coordinated supply boundaries through its hotel and BOQ support routes. Send info@nexpro-link.com the recorder and UPS models, proposed HDD and battery identities, relevant receipt dates and required local replacement scope. Request explicit accessory terms where they are missing, while keeping CCTV manufacturing and complementary equipment coordination distinct from local installation.

Section 07
Buyer questions
Can an unused old spare be installed without further checks? Check it against the current equipment and configuration first. Later model or version changes can make an earlier spare unsuitable, even when it has never been used.
Is an equal-capacity battery or HDD an acceptable substitute? Capacity alone is insufficient. Confirm the supported battery electrical and management arrangement or the recorder's exact drive requirements, then update component and warranty records.
What information is needed for a component warranty inquiry? Provide the order reference, exact component and host-equipment identities, receipt date and relevant symptoms. Use the authorized route for further diagnostics and do not attach guest recordings or passwords initially.
